Clean Forest Arizona – Official Raffle Rules

These Official Rules govern each raffle (“Raffle”) conducted by Clean Forest Arizona (“Sponsor”), an Arizona nonprofit corporation recognized as tax-exempt under Section 501(c)(3) of the Internal Revenue Code. By purchasing a ticket or otherwise participating, each entrant agrees to be bound by these Official Rules and the decisions of Sponsor, which are final and binding.

1. Eligibility

  • Open only to legal residents of the State of Arizona who are 18 years of age or older at the time of entry.

  • Proof of Arizona residency (e.g., valid AZ driver’s license, state ID, or recent utility bill) and age may be required before a prize is awarded.

  • Exclusions: Officers, directors, and employees of Sponsor, and members of their immediate households, are not eligible to participate or win. Volunteers of Sponsor are eligible unless specifically excluded for a particular raffle.

  • Raffles are conducted solely within the State of Arizona. Ticket sales are limited to eligible Arizona residents and must be completed in Arizona.

  • Void where prohibited by law.

2. Raffle Identification

Each raffle will be identified by a public announcement on Sponsor’s website and/or sales page, which will specify the following for that raffle:

  • Prize Name/Description

  • Number of Prizes Available

  • Ticket Price

  • Ticket Limit (Cap), if applicable

  • Sales Period

  • Drawing Date & Location

3. Tickets

  • Tickets may be purchased online at https://www.cleanforestarizona.org or in person from authorized representatives of Sponsor, as stated for each raffle.

  • All ticket sales are final; no refunds will be issued. Lost, stolen, or damaged tickets will not be replaced.

  • Tickets have no cash value and do not constitute a charitable donation for tax purposes. Raffle ticket purchases are generally not tax-deductible.

  • Ticket purchasers must provide accurate contact information. Sponsor is not responsible for misdelivered, incomplete, or ineligible entries.

4. Drawing & Winner Selection

  • On or about the drawing date stated for each raffle, Sponsor will conduct a random drawing from all eligible entries received by the stated deadline. The drawing will be conducted in a fair and impartial manner.

  • Unless otherwise stated, winner need not be present to win. Winners will be notified by phone and/or email using the contact information provided at purchase and may be announced on Sponsor’s website and social media.

  • If a winner cannot be contacted, fails to respond or complete required documentation, or is found ineligible within 14 days of notification, the prize may be forfeited and an alternate winner selected at Sponsor’s discretion.

5. Prizes

  • Prize(s) for each raffle will be described in the associated public announcement and/or prize listing. Example: “[Prize Name] for two (2) adults as described on the raffle page.”

  • Unless expressly stated, prizes include accommodations or items only. Transportation, taxes, resort fees, service charges, gratuities, incidentals, and other expenses are the sole responsibility of the winner.

  • Prizes are non-transferable, may not be resold, and have no cash redemption value. No substitution is permitted except by Sponsor, who reserves the right to substitute a prize of equal or greater value if the advertised prize becomes unavailable.

  • One prize per person per raffle. A single individual may not win more than one prize in the same raffle drawing.

  • Redemption deadlines, blackout dates, age requirements, and other conditions from prize providers (e.g., travel partners) apply and are the winner’s responsibility to observe.

6. Insufficient Ticket Sales

If the total number of tickets sold is insufficient, in Sponsor’s sole discretion, to reasonably cover the cost of the advertised prize, Sponsor reserves the right to substitute the prize with a 50/50 cash raffle. In such case, 50% of the gross ticket sales will be awarded to a single winner, and the remaining 50% will be retained by Sponsor to support its charitable mission. This substitution will fully satisfy Sponsor’s prize obligations for that raffle.

7. Taxes & Reporting

  • Winners are solely responsible for any and all federal, state, and local taxes and fees associated with acceptance and use of a prize.

  • Sponsor will comply with applicable IRS reporting and withholding requirements (e.g., Form W-2G). If required by law, a winner must provide a completed IRS Form W-9 and any other documentation before receiving the prize. Federal income tax withholding may be required for prizes valued at $5,000 or more.

8. Odds of Winning

Odds depend on the total number of eligible tickets sold for the specific raffle (e.g., up to a ticket cap if one applies).

9. Conduct

  • Raffles will be conducted by Sponsor’s members and representatives within Arizona and in accordance with applicable Arizona law.

  • Sponsor reserves the right, in its sole discretion, to disqualify any individual who tampers with the entry process or otherwise violates these Official Rules, and to cancel, suspend, or modify a raffle if fraud, technical failures, or other factors impair its integrity or proper functioning.

10. Publicity

Except where prohibited, participation constitutes permission for Sponsor to use winner’s name, likeness, and city of residence for promotional purposes in any media without additional compensation.

11. Limitation of Liability

By participating, entrants agree to release, discharge, indemnify, and hold harmless Sponsor, its officers, directors, employees, volunteers, agents, and prize providers from and against any claims, losses, liabilities, damages, or expenses arising out of participation in the raffle or acceptance, possession, or use of any prize.

Sponsor is not responsible for technical malfunctions, human error, or any other issues that may affect a raffle entry, drawing, or prize acceptance.
